The Thomas Jefferson District of the Unitarian Universalist Association, in conjunction with its Guest Speakers List service (hosted at its website, www.tjd.uua.org), provides a checklist of questions and a FAQ sheet to its member congregation to use when selecting a speaker.

As you begin your search...
  1. Do you need (or have) any approvals before making a commitment with a speaker?
  2. Do you have any $$constraints or logistical issues to clarify?

During the interview phase...

  1. Have you confirmed the speaker's e-mail and phone information is current?
  2. Will the speaker travel to your location?
  3. Have you asked the speaker for their three references? TJD does not maintain the list of references, but each speaker has agreed to provide you with at least three. Asking for them is your choice.
  4. Have you agreed on the amount of time allotted for a presentation?
  5. Have you asked the speaker about fees or honorarium? Not all speakers charge fees. You may need to cover travel expenses.
  6. Does the speaker need home hospitality? And, who will provide it?
  7. What equipment will be used during the presentation? And, who will provide it?
  8. Have you sent the speaker a written confirmation of the:
    • Topic, allotted time, arrival time/dates/location and contact details?
    • Fees/honorariums, travel costs, hospitality arrangements?

During the logistical phase, have you...

  1. Given the speaker the contact names and phone numbers for the person(s) who will provide support on the event day?
  2. Provided a map and/or directions to the speaking (and if needed) hospitality location(s)?
  3. Mentioned the dress requirements (casual, outdoors, coat/tie, other)?
  4. Made any payment arrangements with your treasurer?
  5. Arranged for any needed equipment, extension cords, etc. to be on site?
  6. Notified the TJD Communication-Council of any concerns?

After the event, have you...

  1. Returned any audio/video equipment.
  2. Paid any expenses and fees/honorarium.
  3. Sent any Thank You's to speakers, home-hospitality hosts, etc.
  4. Notified the TJD Communication-Council of any concerns?
